Grants and Projects Coordinator

United Way of Northwest Illinois is a leader in providing human and financial resources in response to identified health and human service needs to improve the quality of life in Carroll, Jo Daviess and Stephenson County.

Job Summary: The Grants and Projects Coordinator will play a pivotal role in overseeing the planning, coordination, implementation, and reporting of both grant-funded initiatives and United Way projects. This multifaceted position requires strong project management skills, grant writing experience, and the ability to effectively manage resources and stakeholders to achieve project objectives. The successful candidate will be responsible for researching grant opportunities, preparing and submitting grant proposals, developing project plans for grant-funded initiatives, and ensuring compliance with grant requirements. Additionally, the Grants and Projects Coordinator will collaborate with volunteer committees to oversee the implementation of funded programs, monitor progress, and maintain accurate records for reporting purposes. This role offers an exciting opportunity to make a meaningful impact by securing funding and driving the successful execution of projects to support the organization's mission and goals.

Non Exempt Hourly: $20.00

This position is 50% grant funded.

Responsibilities (not limited to):

  1. Grant Coordination and Implementation:
    • Research, identify, and pursue grant opportunities from various sources, including government agencies, foundations, and corporate entities.
    • Prepare and submit grant proposals, ensuring adherence to all requirements and deadlines.
    • Coordinate with internal teams to gather necessary information and data for grant applications.
    • Develop and implement project plans for grant-funded initiatives, ensuring alignment with grant objectives and requirements.
    • Monitor grant compliance and oversee the implementation of funded programs to meet all regulatory and reporting obligations.
    • Collaborate with project volunteers to ensure effective utilization of grant funds and achievement of project goals.
    • Maintain accurate records of grant activities, expenditures, and outcomes for reporting purposes.
  2. Project Planning and Coordination:
    • Assist in the development of project plans, timelines, and budgets for both grant-funded initiatives and internal projects.
    • Coordinate project meetings, including scheduling, agenda preparation, and minutes documentation.
    • Communicate project objectives, requirements, and expectations to team members and stakeholders.
    • Monitor project progress and identify potential risks or issues that may impact timeline or deliverables.
  3. Documentation and Reporting:
    • Maintain project documentation, including project plans, status reports, and grant-related documents.
    • Track project milestones, tasks, and deadlines to ensure timely completion.
    • Generate regular progress reports for board of directors, grant funders, and other stakeholders, highlighting achievements, challenges, and upcoming milestones.
       
  4. Communication and Collaboration:
    • Serve as a central point of contact for project-related inquiries and information, fostering effective communication and collaboration among project teams and stakeholders.

Skills:

  • Strong interpersonal skills, with the ability to develop and execute project plans, timelines, and budgets.
  • Experience in grant writing, with the ability to research funding opportunities, write compelling proposals, and adhere to grant requirements and deadlines.
  • Experience in grant management, including tracking grant activities, monitoring compliance, and preparing reports for grant funders.
  • Effective communication skills, with the ability to clearly articulate project objectives, requirements, and expectations to committee members and stakeholders.
  • Strong organizational skills and attention to detail, with the ability to manage multiple projects simultaneously and prioritize tasks effectively.
  • Ability to work collaboratively in a team environment, fostering communication and coordination among project teams, departments, and external partners.
  • Proficiency in Microsoft programs including excel, word and powerpoint.
  • Experience with resource management, including coordinating resource allocation, scheduling, and budget management.
  • Problem-solving abilities, with the capacity to identify and address project risks and challenges proactively.
  • These skills will be instrumental in the successful execution of grant-funded initiatives and organizational projects, making the Grants and Projects Coordinator a valuable asset to the organization.

License/Certification:

  • Driver's License (Required)

Shift availability:

  • Day Shift 
  • Evenings and Weekends Events when necessary

Willingness to travel:

  • 50% (Required)
